Essential Duties

  • Provide prompt, responsive, professional, courteous, and knowledgeable customer service and communication when answering incoming phone calls, emails, faxes, and handling all customer interaction.
  • Timely input of orders into dispatch management system at a fast pace to complete all assigned tasks, such as: Enter/update orders in accordance with service parameters; ensure accuracy of charges; make orders available for dispatch or warehouse; schedule orders for pick up or delivery as necessary; prepare necessary documents for warehouse and dispatch.
  • Daily audit of all orders input to ensure accuracy and completeness of information in the system.
  • Collect shipment documentation from neighbor island agents.
  • Coordinate pier drayage and store deliveries with neighbor island agents.
  • Maintain and update customer dispatch platforms (e.g. Target NI Smart Sheet and Akzo Nobel).
  • Maintain and update warehouse management system.
  • Complete weekly and monthly dispatch and billing audits for the department.
  • Generate customer invoices for payment, including, but not limited to, the following: Ensure delivery receipts contain complete and accurate information for billing; ensure accuracy of invoice amount; adjust invoice total for specific charges; provide accounts payable with appropriate supporting documentation; issue invoices.
  • Investigate and handle pending shipments daily.
  • Maintain a system to track undelivered shipments and ensure resolution to issues such as:
  • Maintain an organized filing system and file shipment documentation on a routine basis.
  • Process and invoice local, inter-island, and eastbound shipments.
  • Always think and work safely to prevent work injuries, accidents, and property damage. Comply with all company safety rules, including reporting unsafe acts, unsafe conditions, illnesses and injuries to supervisor or manager and actively participate in identifying ways to make our company a safer place to work.
  • Evaluate procedures continually to identify opportunities for improvement.
  • Support and assist office staff with handling issues, questions, and PTO coverage.
  • Complete tasks and other job duties required by the Company.

Qualifications

  • Minimum 2 years related business experience.
  • Proven customer service experience.
  • Ability to understand and work in a computer database.
  • Type 45+ wpm.
  • College
  • Excellent attendance and dependability.
  • Works well in a team environment.
  • Completes assigned job duties with a high degree of initiative & self-motivation.
  • Demonstrates strong attention to detail & ability to multi-task to ensure job duties are completed efficiently.
  • Effectively communicates with customers, coworkers, and management.
  • Ability to proactively identify problems, brainstorm and analyze answers, and implement the best solution.

Requirements

  • High school diploma or equivalent.
  • Fluency and effective communication in English (oral & written).
  • PC skills including Microsoft Outlook, Word, and Excel.

Wage

$18-$19/hour, depending on experience
